Using the Workplace
You can replace the default Notes Welcome page by opening an existing Welcome page called the "Workplace." The Workplace has three portal-like tabs, which are divided into multiple panes that display your Mail, Calendar, To Do list, and so on. Several panes allow you to display your most frequently used Notes databases and Web sites -- helping you to organize and manage your daily tasks and communications with others in your company.

The Workplace has different tabs for different sorts of activities, as well as tools that you can use from any tab. The following sections describe how to use each Workplace tool or tab:


Instant Contacts, Search, and Launcher tools

By default, you see the Instant Contacts (Windows systems only), Search, and Launcher tools at the right-hand side of the Workplace, regardless of which Workplace tab you are on.

Note You will not see the Instant Contacts tool unless you are set up to connect to your company's instant messaging (Sametime) server. If you see the Instant Contacts tool, but it displays <Unavailable>, you need to log on to Notes instant messaging or Sametime Connect. For more information, see Working with instant messaging.

Here's what you can do with each Workplace tool. For ways you can change these tools, see Editing the Workplace.
Instant Contacts
  • Add one or more groups from your Instant Messaging Contact List
  • See which people in your groups are online
  • Send an instant message to a person by double-clicking the person's name.
  • Start an instant meeting with members of a group by double-clicking on the group name
Search
  • Search the Web using the Google search engine. To select a different engine, see Editing the Workplace.
  • Search your Notes domain for databases whose titles contain your search terms
Launcher
  • Start applications, Notes databases, Notes documents, or Web pages by dragging them to the Launcher. You can also add a Notes database to the Launcher by using File - Database -Open. Then, with the database selected, click Bookmark, expand the More Bookmarks folder, select the Workplace Launcher folder, and click OK. Contents of the Workplace Launcher folder automatically appear in the Launcher in the Workplace.

Today Tab

Take stock of your day by scanning new mail, today's calendar entries, and your To Do items.

Here's what you can do by default from each pane of the Today tab. For changes you can make to this tab, see Editing the Workplace.
Recent Messages
  • Read new messages in your Inbox, starting with messages from the last 8-hr interval that your Notes client was open. (Recent Messages is refreshed with new messages from your Inbox throughout the day, but the position of the cursor is refreshed only at 8-hour intervals. If it has been more than eight hours since you exited your Notes client, the cursor position will be refreshed when you restart Notes.)
  • Start a new memo
  • Display a mail view other than your Inbox, or display contents of a folder
  • Expand the Recent Messages area to include Threads, so that when you click on a message, it is shown grouped with its replies, letting you view the entire conversation. (Threads display for the current session only.)
  • Scroll to messages you have already read
  • Open your Inbox full-view
Today's Calendar
  • See your calendar entries for today
  • Scroll forwards or backwards to future or past calendar entries
  • Create a new calendar entry. To change the type of entry that you can create from the Today tab, change your defaults for new calendar entries.
  • Open your Calendar full-view
All To Do's
  • See the list of items from your To Do view
  • Add a new To Do item to the list
  • Open your To Do list full-view

Collaboration Tab

You will probably spend a large portion of your day in the Collaboration tab. The bottom pane is a good place to display the database or Web site that your company uses to provide general information to all its employees.

Here's what you can do by default with each pane of the Collaboration tab. For other changes you can make to this tab, see Editing the Workplace.
InboxUse your Inbox as you normally would (has action and scroll bars) without leaving the Workplace

Note To filter unwanted mail to the Junk Mail view, you must use your full-view (non-Workplace) Inbox

Bottom paneDisplay one of the following items by clicking its link below the bottom pane. Change which item displays by clicking another link. Action and scroll bars are available in each item. Note You can use Edit Workplace to set up all the items now, and then quickly switch which item displays by clicking its link below the pane. If you want, you can substitute any Notes database for the Domino Directory, Personal Journal, or TeamRoom.

Team tab

Keep abreast of new postings in the database or Web site your project team uses to communicate among its members, or plan with your team members' schedules in mind by showing your group calendar. To create Team tabs for additional project teams, see Editing the Workplace.
Top paneSet up one or both of the following:
  • A team Web site, such as a Lotus QuickPlace. For information on QuickPlaces, see IBM Lotus QuickPlace Help in the Documentation Library at http://www.lotus.com/ldd.
  • One of your team's Notes databases, such as its Discussion database.
